Commercial Office Interiors LLC (“Commercial Office Interiors,” “COI,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you:
- visit commercialofficeinteriors.com or another website or landing page that links to this Privacy Policy (collectively, the “Website”);
- submit a contact, quote, design-quiz, or other request through the Website;
- submit information through a LinkedIn Lead Gen Form or interact with one of our LinkedIn advertisements; or
- otherwise communicate or do business with us in a context that refers to this Privacy Policy.
This Privacy Policy does not apply to personal information that we process about employees or job applicants, or to a third-party website or service that has its own privacy policy.
1. Personal Information We Collect
“Personal information” means information that identifies, relates to, describes, or can reasonably be linked with an individual or household. It does not include information that is lawfully public, aggregated, or de-identified as defined by applicable law.
Information you provide
Depending on how you interact with us, we may collect:
- Contact information, such as your name, email address, telephone number, mailing address, and preferred contact method.
- Professional or business information, such as your employer, job title, industry, business name, business size, and business website.
- Inquiry and project information, such as your location, industry, service requested, number of employees or people who will use a space, project type, timeline, budget range, priorities, design or furniture interests, information you include in a message, and records of our communications.
- Design Quiz information, such as organization type, project driver, headcount range, timeline, and project priority. You can complete the quiz without providing contact information. If you ask us to email your results, request a quote from the results page, or otherwise submit the results, we receive the quiz answers together with the contact information you provide.
- Marketing preferences, including whether you want to receive promotional communications and the choices you make about cookies or targeted advertising.
- Other information you choose to provide to us.
Please do not submit sensitive personal information—such as government identification numbers, account passwords, precise financial-account details, medical information, biometric data, or information about children—through a general Website or LinkedIn form.
The Design Quiz uses the answers you select to generate an automated service recommendation. The recommendation is informational only. It does not make a decision that produces legal or similarly significant effects about you.
Information collected automatically
When you use the Website, we and providers acting for us may automatically collect:
- IP address and approximate location derived from it;
- browser type, device type, operating system, language, and device or advertising identifiers;
- pages viewed, links or buttons selected, dates and times of visits, time spent, referring URL, and the page visited after leaving;
- campaign, source, and conversion information; and
- cookie, pixel, tag, local-storage, and similar technology data.
The Website currently uses Google Analytics 4. Google Analytics uses cookies and similar technologies to collect information such as session statistics, approximate location, browser and device information, page visits, and interactions. Google may receive the page URL and IP address; for Google Analytics 4, Google states that IP addresses are used to derive location information and are discarded before being logged. We use this information to operate and secure the Website, understand how it is used, measure campaigns, and improve our services.
Information from other sources
We may receive personal information from:
- LinkedIn, when you submit a LinkedIn Lead Gen Form, engage with our advertisements, or visit a page on which LinkedIn advertising technology is enabled. Depending on the form and your LinkedIn settings, this may include contact, professional, company, education, or demographic information from your LinkedIn profile, together with campaign information.
- Google Analytics and other analytics, referral, or marketing providers, which may provide traffic reports, campaign results, attribution data, audience information, or information about how people interact with our Website or advertisements.
- Website and business service providers, including AskOtter.ai and providers of hosting, website maintenance and optimization, email, communications, security, and data management.
- Public and business sources, such as a company website, professional directory, or information that you or your organization has made public.
2. How We Use Personal Information
We may use personal information to:
- operate, maintain, troubleshoot, and secure the Website;
- respond to questions and requests, provide design-quiz results, prepare quotes or recommendations, schedule consultations, and provide requested services;
- communicate about a request, project, transaction, or business relationship;
- personalize and improve the Website, services, content, and user experience;
- measure Website traffic, advertising reach, campaign performance, leads, and conversions;
- create aggregate or de-identified analytics and business insights;
- send marketing communications where permitted, and record or honor opt-outs;
- advertise to relevant audiences, retarget Website visitors, and measure advertising across devices and services where permitted;
- detect, investigate, and prevent fraud, abuse, security incidents, and unlawful activity;
- enforce our agreements and protect our rights, users, systems, and business; and
- comply with law, legal process, and regulatory requirements.
3. Cookies, Analytics, and Advertising
We and our providers may use cookies, pixels, tags, scripts, local storage, and similar technologies. These technologies may be used for the following purposes:
- Strictly necessary: functions required to load, secure, and operate the Website or remember privacy choices.
- Analytics and performance: understanding Website use, diagnosing problems, and improving performance and content.
- Advertising and conversion measurement: measuring campaigns, attributing leads or other actions to advertisements, building audiences, retargeting visitors, and delivering or measuring relevant advertising.
Google Analytics
We use Google Analytics 4 to understand Website traffic and interactions. Google Analytics may use a first-party cookie, including the _ga cookie, to distinguish users and sessions. Its default implementation collects information such as session statistics, approximate location, and browser and device information. Google describes how it uses data from websites that use its services in How Google uses information from sites or apps that use our services.
LinkedIn advertising
We use LinkedIn advertising services when running LinkedIn campaigns. This may include LinkedIn Lead Gen Forms, campaign reporting, conversion measurement, Matched Audiences, Website Actions, or the LinkedIn Insight Tag.
If the LinkedIn Insight Tag or related LinkedIn advertising technology is enabled on the Website, LinkedIn may receive information about visits and actions, including the page URL, referring URL, IP address, device and browser characteristics, timestamps, and selected buttons or conversions. LinkedIn may use cookies or other identifiers to associate this activity with a LinkedIn member account, measure our campaigns, provide aggregate audience insights, support retargeting, and perform related advertising services. These activities may involve cross-device tracking and ad targeting.
Information that LinkedIn collects before providing a Lead Gen Form submission to us is also subject to LinkedIn’s Privacy Policy. After we receive a submission, our use of it is governed by this Privacy Policy.
We do not knowingly provide LinkedIn with information collected from children under 16 or with sensitive personal information for advertising purposes, and we do not use LinkedIn advertising to target people based on sensitive personal information.
Your cookie and advertising choices
Where applicable law requires consent, we will request it before using non-essential analytics or advertising technologies. If a Cookie Settings control is displayed on the Website, you can use it to review or change available choices. You may also limit cookies through your browser or device settings, although doing so can affect Website features. Google offers a Google Analytics Opt-out Browser Add-on.
California Do Not Track and third-party tracking disclosure
Third parties, including Google and—if LinkedIn advertising technology is enabled—LinkedIn, may collect information about your online activities over time and across different websites when you use the Website. The Website does not respond to legacy browser “Do Not Track” signals because there is not a uniform industry standard for interpreting them.
Some browsers offer a Global Privacy Control (“GPC”) signal. Where legally required, we treat a recognized GPC signal as a request to opt out of the sale or sharing of personal information or its use for targeted advertising for the browser or device sending the signal.
4. Email, Telephone, and Text Communications
Responding to your request
If you provide an email address or telephone number, we may use it to respond to the specific quote, quiz, consultation, or service request you submitted. Providing a telephone number for that purpose is not, by itself, consent to receive automated or prerecorded marketing calls or texts.
Commercial email
We may send commercial email where permitted by law. Our commercial emails will identify the sender, use accurate routing and subject information, include a valid postal address, and provide a clear method to unsubscribe from future marketing emails. We will honor email opt-out requests as soon as practicable and no later than 10 business days after receipt. An opt-out from marketing does not prevent us from sending non-promotional messages about an active request, project, transaction, or legal matter.
Marketing calls and texts
Where prior express written consent is required for an automated, artificial-voice, or prerecorded marketing call or text, we will request that consent separately and clearly. Consent to receive such marketing is not a condition of purchasing goods or services.
You may revoke consent or ask us not to make marketing calls or send marketing texts using any reasonable method, including by telling us during a call, contacting us under Section 12, or replying to a text with STOP, QUIT, END, REVOKE, OPT OUT, CANCEL, or UNSUBSCRIBE. We will honor legally valid revocation and do-not-call requests as soon as practicable and no later than 10 business days after receipt. Message and data rates may apply to texts.
5. How We Disclose Personal Information
We may disclose personal information to:
- Website and business service providers that help us host, maintain, secure, analyze, and improve the Website; manage inquiries and customer relationships; send communications; store data; or provide professional and operational support. These providers include AskOtter.ai for website management and optimization and may include providers for hosting, email, communications, security, and customer relationship management.
- Advertising and analytics partners, including Google and LinkedIn, to understand Website use, run and measure campaigns, attribute conversions, develop audiences, retarget visitors, and understand advertising performance, subject to applicable choices and consent requirements.
- Professional advisers, such as lawyers, accountants, auditors, insurers, and consultants, when reasonably necessary for their services.
- Government authorities and other parties for legal or safety reasons, when we believe disclosure is required by law or reasonably necessary to protect rights, safety, security, property, or the integrity of our services.
- Parties to a business transaction, such as an actual or prospective purchaser, investor, lender, successor, or adviser in connection with a merger, financing, reorganization, sale of assets, bankruptcy, or similar transaction.
- Other parties at your direction or with your consent.
We do not sell personal information for money. However, our use of advertising technologies may be considered a “sale,” “sharing,” or use for “targeted advertising” under some U.S. state privacy laws, even when no money changes hands. Depending on the tools enabled and the law that applies, the categories involved may include identifiers, device and internet activity, approximate location, professional or business information, commercial or inquiry information, and inferences derived from those categories. The recipients are advertising and analytics partners, including LinkedIn.
Where required, you may opt out through any Cookie Settings or Your Privacy Choices control displayed on the Website, by using a recognized GPC signal, or by contacting us as described in Section 12.
6. Data Retention
We keep personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide services, manage our relationship with you, maintain business and security records, honor privacy or marketing choices, resolve disputes, enforce agreements, and meet legal, tax, accounting, or regulatory obligations.
Retention periods vary based on the amount, nature, and sensitivity of the information; the reason we collected it; whether we can achieve the purpose another way; the risk of harm from unauthorized use or disclosure; the length of our relationship with you; and applicable legal requirements. When personal information is no longer needed, we take reasonable steps to delete, de-identify, or securely dispose of it. A limited record of an opt-out request may be kept to ensure that we continue to honor the request.
7. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No system, transmission, or storage method is completely secure, however, so we cannot guarantee absolute security.
If a security incident requires notice under applicable law, we will provide notice to affected people, the New Hampshire Attorney General or other primary regulator, and other parties as required.
8. Your Choices and Privacy Rights
Depending on where you live and subject to applicable exceptions, you may have the right to:
- know whether we process your personal information and access or obtain a copy of it;
- request details about the categories, sources, purposes, and recipients of personal information;
- correct inaccurate personal information;
- delete personal information;
- obtain personal information in a portable format;
- restrict or object to certain processing;
- opt out of the sale or sharing of personal information, targeted advertising, or certain profiling;
- limit certain uses or disclosures of sensitive personal information;
- withdraw consent, without affecting processing that occurred before withdrawal;
- appeal a decision we make about a privacy request; and
- receive equal service and not be discriminated against for exercising a privacy right.
You can also:
- use the unsubscribe link in a marketing email to stop receiving promotional emails;
- ask us to stop marketing calls or messages; and
- review available analytics and advertising choices through any Cookie Settings or Your Privacy Choices control displayed on the Website.
To exercise a privacy right, email sales@commercialofficeinteriors.com with the subject line Privacy Request and describe your request and the state or country where you live. Where required, you may use an authorized agent. We may request information reasonably necessary to verify your identity or the agent’s authority. We will use verification information only for that purpose and respond within the time required by applicable law.
If we deny a request and your law provides a right to appeal, reply to our decision or email sales@commercialofficeinteriors.com with the subject line Privacy Appeal.
Additional information for New Hampshire residents
To the extent New Hampshire RSA 507-H applies to our processing, New Hampshire residents acting in an individual or household context may exercise the applicable rights described above. We will respond to an authenticated request without undue delay and no later than 45 days after receipt. Where reasonably necessary, we may extend that period once by an additional 45 days and will explain the reason for the extension.
If we decline to act on a request, we will explain our decision and provide instructions for appealing it. We will decide an appeal within 60 days. If we deny an appeal, you may submit a complaint to the New Hampshire Attorney General’s Consumer Protection and Antitrust Bureau.
Where required by New Hampshire law, we will also treat a qualifying universal opt-out preference signal, such as Global Privacy Control, as a request to opt out of targeted advertising or the sale of personal data.
Additional information for California residents
The categories of personal information we have collected, the sources, business or commercial purposes, and categories of recipients are described in Sections 1 through 5. The categories we collect may include identifiers; customer-record contact information; commercial or inquiry information; internet or other electronic network activity; approximate geolocation; professional or employment-related information; and inferences drawn from those categories.
We use and disclose these categories for the purposes described in Sections 2 and 5. We do not knowingly sell or share the personal information of people under 16. We do not use or disclose sensitive personal information for purposes that require a right to limit under California law.
If the California Consumer Privacy Act applies to our processing, California residents may exercise the rights described above. We will not discriminate against you for doing so. Our practices during the preceding 12 months are generally consistent with this Privacy Policy. If that changes materially, we will update this section.
9. Information for People in the EEA, United Kingdom, and Switzerland
Where European data protection law applies, Commercial Office Interiors LLC is the controller of the personal information described in this Privacy Policy.
We rely on one or more of the following legal bases:
- Contract or steps before a contract: to respond to a service request, prepare a proposal, or provide requested services.
- Legitimate interests: to operate, secure, analyze, and improve our business and Website; communicate with business contacts; prevent fraud; and protect or exercise legal rights, where those interests are not overridden by your rights.
- Consent: for non-essential cookies, targeted advertising, or marketing where consent is required. You may withdraw consent at any time.
- Legal obligation: to comply with applicable legal, tax, accounting, regulatory, or law-enforcement requirements.
Our providers may process personal information in the United States or other countries that may not provide the same level of data protection as your home country. Where required, we use recognized safeguards for these transfers, such as adequacy decisions or approved contractual protections. You may contact us to request more information about applicable safeguards.
You may have the right to access, correct, erase, restrict, or receive a portable copy of personal information; object to processing based on legitimate interests or for direct marketing; withdraw consent; and complain to your local data protection authority. You may find EU supervisory authorities through the European Data Protection Board and the UK authority through the Information Commissioner’s Office.
10. Children
The Website and our services are intended for businesses and adults, not children under 16. We do not knowingly collect personal information from children under 16. If you believe a child has provided personal information to us, please contact us so we can take appropriate action.
11. Third-Party Links and Policy Changes
The Website may link to third-party websites or services. This includes the Inspiration platform, which is powered by INDEAL and provides its own privacy policy. We do not control third-party privacy or security practices, and this Privacy Policy does not apply to a third party’s independent collection. Review the third party’s privacy policy before providing information.
We may update this Privacy Policy as our services, technology, or legal obligations change. We will post the revised version on this page and change the “Last updated” date. If required by law, we will provide additional notice or request consent before a material change takes effect.
